Run sheet software for DMCs

Nothing typed twice.Nothing out of date.Nothing seen by the wrong person.

Your team builds a master document for every event, then spends the last week retyping and resending it. Alista keeps the programme in one place: the run sheet, rooming and transfer lists come out of it, and each freelancer sees their own part.

An example run sheet in Alista. The event and its details are invented.

One programme, and everything follows from it

Your project manager plans the event once, day by day: transfers, hotel nights, meals and activities. Everything the team works from comes out of that one programme, from the run sheet to what a driver sees on their phone at six in the morning.

When a time changes or six guests cancel, it is changed once. Nothing is copied into five documents, and nobody has to announce it in a group chat and hope it was read.

How it goes today

  • A master document rebuilt for every event, and sent out again after every change.
  • Rooming and transfers in spreadsheets of their own, drifting away from the programme.
  • Headcounts and dietary numbers counted by hand, then counted again.
  • “Is this the latest version?” at eleven at night, in a WhatsApp group.
  • A driver holding the whole document, including the parts that were never meant for them.

How it goes with Alista

  • One programme. Change it once and every list and printout follows.
  • Rooming and transfer lists that cannot disagree with the run sheet.
  • Headcounts and dietary numbers on everything, right as soon as a guest replies.
  • A feed of what changed, and the conversation beside the thing it is about.
  • Each person sees their own part of the event, and nothing else.

Questions

What is Alista?

Alista is event operations software for destination management companies (DMCs). Your team plans an event’s programme once, and the run sheet, each freelancer’s view, the rooming list, the transfer list and the printed copies all come from it. A change made once is changed everywhere.

Who is it for?

DMCs and event agencies that run multi-day programmes, such as incentives, conferences, kick-offs and corporate trips, together with the project managers, freelance coordinators, guides and drivers who deliver them.

What does it replace?

The master document a project manager rebuilds for every event, the run sheet and rooming spreadsheets kept beside it, and the WhatsApp groups used to tell everyone what has changed.

Does Alista do quotes, bookings or invoicing?

No. Alista is for operations: planning and running the programme once the event is sold. Quoting, booking, invoicing and CRM are jobs for other tools, and Alista sits beside them.

Do we need to install anything?

No. Alista runs in the browser on a Mac, a PC, a tablet or a phone. Your freelancers open a link from their email and sign in with it.

How much does it cost?

Alista is in early access with a small number of DMCs. Tell us about your events and we will talk you through pricing.

Where is our data kept?

In the European Union. The database and uploaded files are stored in Ireland.
